Job Description
General Scope of Duties
The Associate Director of the Camel Athletics Network serves as an integral frontline fundraiser and operational coordinator within the Office of College Advancement. Working in close alignment with the Director of the Camel Athletics Network, the Associate Director is responsible for building, cultivating, and sustaining a robust pipeline of athletic donors. The primary focus of this role is the strategy and execution of leadership annual giving ($1,000 to $5,000+), specifically targeting the expansion of the 1911 Society athletics cohort, young alumni student-athletes, and varsity parents. This position bridges athletic affinity and institutional advancement by managing sports-specific giving campaigns, digital crowdfunding challenges, and high-impact regional and campus engagement events.
General Duties and Responsibilities
Priority Duties and Responsibilities:
- Frontline Fundraising & Pipeline Management: Actively manage a portfolio of 120–150 leadership annual giving prospects and leadership-level parent prospects. Conduct face-to-face cultivation, solicitation, and stewardship visits (requiring 10–15% travel) to secure annual support and qualify prospects for future major, capital, and endowed giving opportunities.
- Campaign & Giving Day Project Management: Serve as the primary operational lead for annual athletics giving days and crowdfunding initiatives. Partner closely with the Office of Annual Giving and Athletic Communications to design multi-channel digital challenges, direct mail solicitations, and peer-to-peer volunteer outreach toolkits.
- Targeted Cohort Engagement: Design and execute specialized solicitation and engagement tracks for young alumni student-athletes (0–10 years post-graduation) and current varsity parents to establish early habits of baseline philanthropy and long-term network retention.
- Event Strategy & Volunteer Mobilization: In collaboration with the Office of Alumni and Parent Engagement, plan and execute regional pre-game tailgates, team alumni games, networking events, and donor hospitality functions. Recruit, train, and manage team-specific alumni “captains” and volunteers to maximize participation and peer fundraising impact.
- Interdepartmental Collaboration & Stewardship: Partner directly with assistant coaches, athletic administrators, and donor relations staff to ensure sport-specific fundraising initiatives accurately reflect program needs. Oversee the deployment of timely impact reporting and student-athlete thank-you initiatives to optimize donor retention.
General Duties and Responsibilities:
- Establish measurable performance targets, benchmarks, and data-driven timelines for the annual athletic fundraising cycles in coordination with the Director.
- Assist the Director in translating broader athletic department priorities (capital improvements, team travel, equipment upgrades) into clear, compelling donor opportunities.
- Provide resource support and operational reporting metrics to the Director of Development, Vice President for College Advancement, and other field staff managing multi-interest athletic prospects.
- Represent the Camel Athletics Network and College Advancement at on- and off-campus events, including regional alumni chapters, homecoming, and athletic tournaments, requiring regular evening and weekend commitments.
Maintain impeccable data hygiene within the advancement database, logging donor interactions, contact reports, and strategy updates promptly and accurately.
Education and Skills
- Education: Bachelor’s degree required.
- Experience: Minimum of 3–5 years of professional experience in higher education fundraising, athletic development, alumni relations, institutional advancement, or a highly transferable sales/relationship management field.
- Philanthropic Track Record: Demonstrated experience or strong aptitude for face-to-face solicitations, with a preferred background in closing leadership annual gifts ($1,000+).
- Communication Expertise: Superior written, verbal, and presentation skills; ability to author highly compelling, authentic solicitation copy tailored to specific sport cultures and diverse multi-generational audiences.
- Interpersonal Skills: Exceptional emotional intelligence and relationship-building abilities, with a proven track record of collaborating across complex institutional boundaries (coaches, faculty, senior administrators, and trustees).
- Technical Proficiency: Strong computer skills and familiarity with sophisticated advancement databases (e.g., Raiser’s Edge, Salesforce CRM, or similar platform) and digital crowdfunding tools.
- Integrity & Discretion: Uncompromising personal and professional ethics; demonstrated adherence to absolute confidentiality and discretion when handling highly sensitive donor, family, and student-athlete records.
- Operational Agility: Exceptionally organized, results-oriented, and self-motivated, with a proven ability to balance multiple overlapping project deadlines under minimal supervision.
- Affinity: A strong personal or professional appreciation for the value of a liberal arts education and competitive NCAA Division III varsity athletics.
