About The Role
The Administrative Assistant at Play Like a Girl plays a vital role in supporting the organization’s daily operations, primarily assisting the CEO and executive team. This position is ideal for a highly organized, tech-savvy professional with excellent communication skills and a passion for the organization’s mission. The role involves managing schedules, coordinating meetings and travel, supporting event logistics, and assisting with various administrative and operational tasks. Candidates must have a dedicated home office setup with reliable internet, a computer, and a quiet workspace, and be available on camera during standard business hours. This is a fully remote position requiring occasional local travel within a 30-mile radius of Nashville International Airport for in-person meetings, events, and community engagement. The role offers an exciting opportunity to contribute directly to the organization’s impact while developing skills across multiple functions including program support, fundraising, and digital communication.
Qualifications
- Associate’s degree in business administration, communications, nonprofit management, secondary education, or a related field.
- Minimum of 3 years of professional experience in administrative support, office management, or a similar role.
- Proficiency with Google Workspace, Microsoft Office, Slack, Asana, Zoom, Loom, and social media platforms.
- Exceptional organizational and time-management skills with strong attention to detail.
- Excellent verbal and written communication skills.
- Ability to work independently in a hybrid environment and manage multiple responsibilities simultaneously.
- Demonstrated professionalism, discretion, and sound judgment in handling sensitive information.
Responsibilities
- Provide comprehensive administrative support to the CEO, staff, and contractors, including managing calendars, scheduling meetings, and coordinating travel logistics.
- Draft, proofread, and format correspondence, reports, agendas, and presentations to ensure clarity and professionalism.
- Maintain digital filing systems and ensure accurate recordkeeping across organizational platforms.
- Manage email communications for the organization and prioritize action items, responding to routine inquiries promptly.
- Coordinate logistics for virtual and in-person meetings, including preparing agendas, taking minutes, and following up on action items.
- Support planning and execution of organizational events, retreats, board meetings, and special programs by liaising with vendors, venues, and stakeholders.
- Track project deadlines and deliverables using tools like Asana, supporting team members to meet their objectives.
- Assist in onboarding new staff, interns, and volunteers, ensuring smooth integration into the organization.
- Support light data entry, expense tracking, and administrative documentation to maintain operational efficiency.
- Contribute to marketing and digital communication efforts by scheduling content, creating graphics, articles, newsletters, and videos for social media platforms.
- Use Loom to produce internal explainer videos and training materials as needed.
- Assist with donor and sponsorship outreach, stewardship, and fulfillment tracking, including preparing thank-you notes and contribution summaries.
