Recreation Operations Assistant (Full-Time)

Williamson County Parks and Recreation is accepting applications for a full-time Recreation Operations Assistant. The Recreation Operations Assistant is responsible for managing departmental contracts and handling accounts payable functions. This role supports the department by ensuring accurate processing of utility bills and managing financial and administrative documentation.

Essential Duties and Responsibilities:

1. Coordinates with vendors, associations, organizations, and staff to ensure contracts are accurate, up-to-date, and compliant with departmental policies.

2. Processes accounts payable for departmental utility bills, ensuring timely payment and proper documentation.

3. Maintains accurate records related to contracts, purchases, and payments.

4. Communicates effectively with vendors, internal divisions, and staff to resolve issues and ensure smooth operations.

5. Assists with daily cash receipts, reconciliation, and deposit preparation during staff absences, ensuring accuracy and compliance with departmental financial procedures.

6. Processes refund request forms through the ActiveNet registration system and maintains accurate records of all refunds.

7. Assists with ActiveNet troubleshooting, user support, staff training, and report generation to ensure efficient system use across the department.

8. Handles daily errands to the county, including delivery and retrieval of essential documents and materials, ensuring timely and reliable service.

Knowledge, Skills & Abilities:

  • Ability to manage multiple priorities and meet deadlines.
  • Familiarity with contract management, procurement, and accounts payable processes.
  • Demonstrate strong communication, organizational, and customer service skills.
  • Ability to work independently and collaboratively in a team environment.
  • Maintains a positive attitude, professionalism, and a willingness to assist others.
  • Proficiency with Microsoft Excel, Word, Outlook, and point-of-sale systems (such as ActiveNet)
  • Ability to handle confidential financial information with accuracy and discretion.
  • Must successfully pass a background check.
  • Possess a valid Tennessee driver’s license.

Education & Experience:

  • Bachelor’s degree from an accredited college or university preferred: Recreation & Sports Management, Business, Accounting, Finance, or another related field.
  • Two years of experience in administrative support, accounts payable, financial recordkeeping, contract coordination, recreation operations, customer service, or related work required.
  • An equivalent combination of education, training, and experience may be considered.

Physical Demands & Work Environment:

The employee is frequently required to stand, walk, sit, reach with hands and arms, use hands to handle or feel, talk, or hear. The employee will occasionally need to climb or balance, stoop, kneel, crouch or crawl. Employees will occasionally be lifting up to 50 pounds due to assisting with outdoor events.

Pay: $54,800.00 per year
