Match & Training Camp Coordinator / Logistics Coordinator

About V Agency

  • V Agency partners with football clubs and federations across Europe to deliver high-level matches, training camps, and bespoke sporting events. We sit at the intersection of operations, hospitality, and elite sport, providing end-to-end logistics so our partners can focus on performance.

The Role

  • We are looking for a Match & Training Camp Coordinator to take ownership of the planning and on-the-ground execution of friendly matches, tournaments, and training camps for our club and federation clients. This is a hands-on, detail-driven role for someone who thrives in fast-moving environments and enjoys juggling many moving parts at once.
  • You will be the operational backbone of each project: coordinating travel, accommodation, training facilities, opponent scheduling, transport, meals, kit, and everything in between. You will work closely with club staff, federation representatives, hotels, venue operators, and suppliers to ensure every detail is in place before a team arrives and everything runs smoothly while they are with us.

Key Responsibilities

  • Plan and coordinate full logistics for training camps and match windows, including accommodation, training pitches, gym access, meeting rooms, recovery facilities, and meals tailored to performance requirements.
  • Source and book opponents for friendly matches in coordination with sporting staff, manage match agreements, referee assignments, and venue contracts.
  • Manage all transport arrangements (flights, charter buses, transfers) and build detailed daily run sheets covering every team movement.
  • Serve as the primary point of contact for club and federation staff before and during the camp or match window, anticipating needs and resolving issues on the ground.
  • Build and maintain relationships with hotels, venues, transport providers, and local partners across key markets.
  • Negotiate contracts and budgets with suppliers, track expenses, and ensure each project is delivered within agreed financial parameters.
  • Coordinate with medical, performance, and equipment staff on specific facility, dietary, and logistical requirements.
  • Handle accreditation, visas, immigration paperwork, and any compliance documentation required for international travel.
  • Conduct site visits and venue inspections, and prepare briefing documents for visiting staff.
  • Manage on-site operations during camps and matches, often working evenings, weekends, and across time zones.
  • Lead post-event debriefs and continuously refine our operational playbook.

What We're Looking For

  • Proven experience in event logistics, team operations, or travel coordination, ideally within football, another professional sport, or high-end hospitality.
  • Strong understanding of how a football club or national team operates day to day, including the rhythm of training, matchday, and recovery.
  • Exceptional organisational skills, with the ability to manage multiple projects in parallel and keep track of fine detail under pressure.
  • Confident communicator in English (additional languages, particularly Croatian, Spanish, German, Italian, or French, are a strong advantage).
  • Comfortable negotiating with suppliers and managing budgets.
  • Calm under pressure, solutions-oriented, and discreet when handling sensitive information.
  • Willingness to travel frequently and work non-standard hours during camps and match windows.
  • Driving licence preferred.

Nice to Have

  • Existing network of contacts among clubs, federations, agents, hotels, or training venues in Europe.
  • Experience supporting international fixtures, pre-season tours, or national team windows.
  • Familiarity with tools such as Microsoft 365, project management software, and travel booking platforms.

What We Offer

  • The chance to work directly with leading clubs and federations across Europe.
  • A small, senior team where your work has visible impact from day one.
  • Competitive compensation, with travel and expenses covered during projects.
  • A varied calendar with no two months looking the same.
