Health Insurance Intake Coordinator

Position Overview:
The Health Insurance Intake Coordinator at WHSP Medical serves as the first point of contact for patients, ensuring a seamless and informed onboarding experience. This role is responsible for registering new patients, verifying insurance coverage, obtaining necessary referrals and authorizations, and educating patients on their financial responsibilities prior to care. The Health Insurance Intake Coordinator plays a critical role in supporting access to specialized care while upholding the organization’s commitment to transparency, efficiency, and patient-centered service.
Key Responsibilities
· Serve as the primary contact for new patient registration
· Verify patient insurance eligibility, benefits, and coverage details prior to appointments
· Determine referral and prior authorization requirements for specialist services
· Communicate clearly with patients regarding coverage, out-of-pocket costs, and financial policies
· Coordinate with patients and referring providers to obtain required referrals and clinical documentation
· Ensure all patient demographic and insurance information is accurate and up to date in the electronic medical record (EMR) system
· Collaborate with clinical and administrative teams to support timely scheduling
· Follow up on pending insurance verifications, referrals, and authorizations
· Maintain compliance with payer guidelines and organizational policies
· Support self-pay patient workflows, including providing pricing transparency and payment expectations
Qualifications
· High school diploma required; associate or bachelor’s degree preferred
· 2+ years of experience in medical intake or insurance verification
· Strong understanding of commercial insurance plans, referrals, and prior authorizations
· Proficiency with EMR systems (e.g. Athena, Epic)
· Excellent communication, organizational, and problem-solving skills
· Ability to manage multiple priorities in a fast-paced environment
· Experience working in a specialty or outpatient health care setting preferred
