As our programs continue to grow, we are seeking a highly organized and customer-focused Enrollment Coordinator to manage athlete registrations, membership enrollment, and participant onboarding processes. This role plays a critical part in ensuring a seamless and positive experience for prospective and current members.
Position Summary
The Enrollment Coordinator serves as the primary point of contact for prospective athletes, parents, and members regarding registration, enrollment, and program participation. The successful candidate will guide families through the enrollment process, maintain accurate participant records, coordinate communications, and support academy growth through exceptional customer service and administrative excellence.
The ideal candidate is detail-oriented, professional, proactive, and capable of managing multiple priorities in a fast-paced sports environment. Strong communication, organizational, and relationship-building skills are essential for success in this role.
Key ResponsibilitiesEnrollment and Registration Management
- Manage the complete enrollment process for athletes and program participants.
- Process registrations for training programs, camps, clinics, leagues, tournaments, and special events.
- Review registration forms and supporting documentation for completeness and accuracy.
- Ensure all enrollment requirements are met before participant admission.
- Maintain accurate participant records within enrollment and membership systems.
- Monitor enrollment trends and participant capacity across programs.
- Coordinate enrollment confirmations and registration communications.
- Assist families with account setup and registration procedures.
Member and Family Support
- Serve as the primary contact for prospective and current athletes and families.
- Respond to inquiries regarding programs, schedules, fees, policies, and enrollment requirements.
- Provide personalized guidance to families throughout the registration process.
- Address enrollment-related concerns and resolve issues in a timely and professional manner.
- Build positive relationships with athletes, parents, and community members.
- Ensure a welcoming and supportive experience for all participants.
Recruitment and Retention Support
- Assist in attracting new participants to academy programs.
- Follow up with prospective athletes and families who express interest in enrollment.
- Support retention initiatives by maintaining ongoing communication with members.
- Track inquiries, leads, and enrollment conversion activities.
- Assist with promotional campaigns designed to increase participation.
- Help identify opportunities to improve enrollment and member satisfaction.
Data Management and Recordkeeping
- Maintain accurate athlete, parent, and membership records.
- Update participant information as needed.
- Monitor enrollment databases to ensure information accuracy and completeness.
- Generate enrollment reports and participation summaries.
- Track registration numbers and program capacity.
- Prepare documentation for management review and decision-making.
- Maintain confidentiality of participant and family information.
Communication and Outreach
- Communicate enrollment deadlines, program updates, and important announcements.
- Send welcome communications to new participants and families.
- Coordinate email campaigns and informational materials related to enrollment.
- Assist with social media and marketing initiatives that support recruitment efforts.
- Collaborate with coaches and staff to ensure effective communication regarding program availability.
- Support community outreach efforts and informational events.
Scheduling and Program Coordination
- Coordinate participant placement within programs and training groups.
- Assist with scheduling evaluations, assessments, and orientation sessions.
- Monitor class availability and waiting lists.
- Work closely with coaches and administrators to ensure proper participant placement.
- Communicate schedule changes and program updates to members.
- Assist in planning enrollment periods and seasonal registration activities.
Financial and Administrative Support
- Process enrollment payments and registration fees.
- Issue invoices, receipts, and payment confirmations.
- Monitor account balances and follow up regarding outstanding payments.
- Assist families with payment options and enrollment-related financial questions.
- Maintain accurate financial records related to registrations.
- Support administrative reporting and reconciliation activities.
Event and Orientation Support
- Coordinate new member orientation activities.
- Assist with registration events, open houses, and academy tours.
- Prepare enrollment packets and participant materials.
- Support administrative operations during academy events and programs.
- Help create a positive first impression for prospective members and families.
Required Qualifications
- High school diploma or equivalent required.
- Associate degree or coursework in Business Administration, Customer Service, Marketing, Education, Sports Management, or a related field preferred.
- Minimum of one year of experience in enrollment, admissions, customer service, administration, or a related role preferred.
- Strong proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Ability to manage confidential information with professionalism and discretion.
- Strong attention to detail and accuracy.

Preferred Qualifications
